Description

Key Responsibilities Project Support & Coordination Assist in planning and execution of projects such as store renovations, upgrades, and new outlet openings. Coordinate with contractors, vendors, landlords, and internal stakeholders to ensure projects are delivered on time and within scope. Monitor project progress, track timelines, and follow up on outstanding items. Support site inspections and handovers. Maintenance Management Support day-to-day maintenance operations across outlets, including reactive and preventive maintenance. Ensure timely resolution of maintenance issues to minimise operational disruption. Assist in scheduling and tracking preventive maintenance programmes. Cost & Budget Control Support cost monitoring for projects and maintenance works. Assist in quotation comparison, purchase requests, and cost tracking. Ensure works are carried out within approved budgets. Vendor & Contractor Management Liaise with contractors and service providers to ensure work quality and compliance with specifications. Monitor vendor performance and follow up on rectification works when required. Safety, Compliance & Standards Ensure compliance with safety regulations, company SOPs, and statutory requirements. Support audits, inspections, and corrective actions related to maintenance and safety. Documentation & Reporting Maintain proper documentation, including work orders, quotations, contracts, drawings, and completion reports. Prepare regular updates and reports on project and maintenance status. Stakeholder Communication Communicate clearly with operations teams on schedules, disruptions, and completion timelines. Provide timely updates and escalate issues when required. Key Performance Indicators (KPIs) Timely completion of projects and maintenance works Adherence to budget and cost controls Reduction in repeat maintenance issues Quality and compliance of completed works Stakeholder satisfaction and communication effectiveness Requirements & Qualifications Diploma or Degree in Building, Engineering, Facilities Management, or related field. 2–5 years of experience in project coordination or maintenance, preferably in F&B, retail, or multi-outlet environments. Basic understanding of M&E, renovation works, and building services. Strong organisational, follow-up, and coordination skills. Ability to manage multiple tasks and stakeholders simultaneously. Working Environment Multi-site role with regular outlet visits. May require after-hours or weekend support for urgent works.
