The Operational Admin manages daily administrative tasks at HQ and actively supports client site operations to ensure smooth service delivery. This role requires hands-on involvement both in the office and on-site.

Description

- Visit client sites to manage operational matters, address service issues, and ensure smooth service delivery - Serve as the on-ground contact during site visits to manage client expectations and resolve issues promptly - Conduct site inspections, verify job completion, and collect signed checklists or job sheets from workers - Coordinate with supervisors and day/night teams to ensure jobs meet schedules and client requirements - Follow up on missed or last-minute jobs and liaise with clients to obtain necessary documentation timely - Support urgent Permit-to-Work (PTW) applications for last-minute site jobs to secure timely approvals - Coordinate with subcontractors to arrange and confirm cleaning schedules, notifying clients professionally - Apply for PTWs across various MCSTs and maintain positive relationships with building management - Distribute approved PTWs promptly to workers before scheduled jobs - Maintain accurate records of staff leave including Annual, Medical, Claims, and Unpaid Leave - Monitor staff course expiry dates, schedule courses, and submit reimbursement claims with SFEC - Monitor company and employee insurance policies and liaise with agents to ensure valid coverage - Enter and maintain complete staff records in HR/payroll systems, including onboarding and offboarding - Calculate month-end overtime for day-shift workers and distribute payslips upon salary issuance - Maintain organized filing of employee and office documents, both physical and digital - Conduct stock-taking and inventory control for company uniforms, equipment, and products - Arrange logistics such as travel bookings for staff and shipment of products when required

Requirements

  • - Minimum GCE 'O' Level or Diploma in Business Administration, Operations Management, or related field
  • - 1–3 years’ experience in admin, operations, or coordination roles, preferably with field-based or customer-facing exposure
  • - Proficient in Microsoft Office (Excel, Word, Outlook)
  • - Adaptability to new processes and technologies, including learning to use Artificial Intelligence (AI)
  • - Strong communication and interpersonal skills to manage clients on-site confidently
  • - Organized and meticulous with the ability to manage multiple tasks simultaneously
  • - Ability to work independently and take initiative in the field
  • - Comfortable traveling to client sites across Singapore
  • - Valid Singapore driving license is an advantage
  • - Bilingual in English and Mandarin is an advantage for effective communication with clients
